1. Choose a garment that supports embroidery well

A logo that works beautifully on a structured cap may need small adjustments to work well on a thin performance polo.

If the apparel will become part of an ongoing uniform program, prioritize a style that is likely to remain available. Consistent reorders are much easier when the same garment and color can be sourced again.

2. Digitizing is not the same thing as converting a file

Embroidery machines do not simply read a JPG, PNG, or PDF logo. The artwork must be digitized into stitch instructions that tell the machine where to sew, what direction to stitch, and how different areas should overlap. Good digitizing can improve readability, reduce puckering, and make small lettering much cleaner.

A logo may need simplification at small sizes. Very tiny text, fine outlines, complicated shadows, and photographic detail generally do not translate directly into thread. A quality embroidery provider should flag those issues before production.

3. Size and placement can change the result dramatically

A common left-chest logo is intentionally compact, while a hat front has different height and shape constraints. Jacket backs and larger specialty locations may support much bigger designs. The best size is not always the largest possible size; it is the size that keeps the logo balanced on the garment and readable from the intended viewing distance.

4. Understand what drives embroidery pricing

Embroidery pricing is influenced by quantity, garment cost, stitch count, number of locations, digitizing, and specialty handling. A dense logo with many stitches takes longer to run than a simpler logo even if both occupy a similar physical area. For that reason, two logos that look similar in size can have different production costs.

5. Hats require special attention

Caps are not flat garments. The crown shape, seams, structure, embroidery field, and logo height all matter. Some logos need to be adapted for clean cap embroidery, particularly when the design has small text or detail close to the center seam. If hats are an important part of the order, evaluate the logo specifically for hats rather than assuming the polo version will transfer perfectly.

6. Give the shop your real deadline

For a company event, church launch, school program, conference, or staff rollout, share the in-hands date at the beginning. Production time starts after key decisions are settled, including garment availability, sizes, artwork, digitizing, and approval. Early deadline communication gives the shop the best chance to protect the date.

7. Plan for reorders if this is a uniform or ministry program

If you expect additional employees, volunteers, students, or team members later, tell the provider up front. Keeping the digitized logo, thread colors, garment style, and placement specifications consistent makes future reorders faster and more reliable.
